Voice FAQ - Phone, Greeting, Signup & Mail

The following all apply if you have a custom Revenue Typhoon, SpeakerLeads.net, or EventLeads.net account with your own phone number.


Phone and Default Setup

Call forwarding and phone extensions are all optional.  The minimum that needs to be specified is the Area Code for the phone number.

The default setup will be used until you provide or pay for a custom greeting or change the minimum settings.
  • A generic greeting thanks the caller and asks him or her to hang up and send a text message with their name and email address to sign up.
  • There is no call forwarding. 


Voice Signup

All calls are considered signups.  We automatically capture the caller and create a subscriber record to initiate the response campaign so you can always follow up, even if they don't leave a message, the call is interrupted, or the call is transferred.  Phone number and city, state, and country are extracted from the calling number.

If you're ONLY going to use your phone number for text messaging and not voice mail:
  • On your order form set your Call Forwarding to Immediate and enter your company or direct personal phone, or a Google Voice number, for the Call Forwarding phone number.
If you want to use your custom greeting and extensions but not voice mail, you can't avoid voice mail but you  can discourage it through the following.
  • Message. Tell the caller they can't leave you a voice message (even though they can).  They must dial an extension (if set up) to reach your company or should hang up and send a text message to sign up for more info or whatever your offer is.
  • Format.  At the end of your custom message continue to record 15 to 30 seconds of silence.  Callers typically won't wait to the end and leave a message.


Voice Mail with Transcription

If the caller leaves a message, the voice mail is automatically transcribed.  There is a separate monthly fee of $11 per month for every 10 voice mail transcriptions.  Voice mail with transcription is an integrated part of Revenue Typhoon campaigns.  You can't remove it from your account. 

The transcription captures name and email for the subscriber record.  Any additional info is stored in the Notes field.  If you specify email notification, you will received both the subscriber record with the transcription results and a digital copy of the voice mail.  You may want to check the actual message for transcription errors.  The email notification includes an edit link so you can make any needed corrections.

If you're going to actively use voice mail:
  • Your Custom Greeting should tell callers to leave their name and spell out their email address. 


Custom Greeting

Please follow these directions and tips to create your optional custom greeting for your account.
  • Make sure you greeting matches the info you provided in your Order.
  • Your greeting should be no more than one minute in total length, including any silence at the end.
  • Write your greeting first to ensure it's complete and accurate and make it easy to record.  Identify your business and welcome the caller. See Voice Signup above.  Tell the caller about any specified extensions (1, 21-24) .
  • Time and practice your script so it's professional and within the time limit above.  
  • Record the greeting on your phone or PC as a medium to high quality MP3 or WAV file.  Your installed phone or phone recording app should work fine.  There are plenty of free and low cost voice recorder apps that provide additional features.
  • If you're not comfortable with recording your greeting, ask a coworker or friend who can do it for you.  Or contact us, We charge a fee of $45 to record your script.
  • Send the file as an attachment or link in an email with your Revenue Typhoon account info to media@revenuetyphoon.com.
